1. Introduction
This policy describes how we, Love Swimming Ltd, collect and use information about you when you use our website or services. We take your privacy very seriously and want to maintain your trust – that is what this policy is all about.
By using our website or services, you’re agreeing that we can use your personal data in the ways described in this policy. If you don’t agree, please don’t use our website or services.
2. Personal information we collect
We may collect and process certain types of information about you:
- Personal information that you give us when you make an enquiry, sign up for marketing emails, register on our website for our swimming lessons or otherwise use our services. Enquiries will only capture basic details such as name, email address, and phone numbers; but registering for lessons requires address, date of birth, gender, medical conditions and details of your current fitness levels and goals.
- Information automatically collected when you visit our website, including your IP address, geo-location data, browser type and version, operating system, referral source, length of visit, page views and website navigation paths. Like most websites, we use Google Analytics to collect this information and it may also be recorded in our server logs. This information is not personally identifiable.
3. Use of your personal data
We will only use your information where we have a lawful basis, either because you’ve given consent, it’s necessary for the performance of a contract with you, or because it’s in our legitimate interests. Specifically, we may use your information:
- to provide our swimming lesson services, including processing your payment information and assisting with enquiries;
- to contact you about our services;
- to provide you with information or promotions about things you’ve asked us to;
- to notify you of any security or data breaches;
- to help us identify potential risk and fraud;
- to improve and optimize our website (for example, analytics reports showing how people interact with the website and to assess our marketing campaigns);
- in a way that we describe to you when you provide the information.
4. Sharing your personal data
We sometimes need to share your personal data with other companies or third parties, but only where necessary and as described in this policy:
- suppliers and subcontractors we work with to deliver our services including hosting, IT support, advertising platforms, booking systems, cloud-based software, accountants and law firms;
- law enforcement, judicial authorities and security organisations – we may disclose your personal data where necessary for compliance with a legal obligation or to protect your vital interests or those of another person. We may also disclose your personal data where necessary for the establishment, exercise or defence of legal claims. This includes exchanging information for the purposes of fraud detection and assessing credit risk;
5. Transfers of your personal data outside the EEA
We may transfer your personal data to third parties located outside the European Economic Area (EEA). Transfers will be protected by appropriate safeguards, namely the use of standard data protection clauses adopted or approved by the European Commission.
6. Retaining and deleting personal data
We’ll try not to keep your information longer than is necessary for the purpose it was collected for.
For example, we keep web server logs that record information about a visitor to our website, such as IP address, browser and operating system for approximately 30 days. We keep the logs for this period to analyse traffic and investigate if something goes wrong with the website.
We may retain your personal data where necessary for compliance with a legal obligation, or to protect your vital interests or the vital interests of another person.
7. Security of personal data
We will take appropriate precautions to secure your personal data and to prevent the loss, misuse or alteration of it. We may store your personal data on secure servers, personal computers and mobile devices, and in secure manual record-keeping systems.
Data that is sent from your web browser to our web server, or from our web server to your web browser, will be protected using encryption technology.
You acknowledge that the transmission of unencrypted data over the internet is insecure, and we can’t guarantee the security of data sent over the internet.
8. Updating your personal data
You’re entitled to access, correct or delete (if we no longer need it to provide our services to you or for legal reasons) your personal data. You can contact us using the details in the ‘Our details’ section of this policy.
You can unsubscribe from any of our marketing or newsletter email subscriptions at any time by following the unsubscribe link in any marketing email. You can also access a preference centre from a link in the email where you can check and update your personal data.
You can request that we supply you a copy of your personal data; the first copy will be provided free of charge, but additional copies may be subject to a reasonable fee.
If you think that our use of your personal information infringes data protection laws, we will try to resolve your complaint directly, but you have a legal right to lodge a complaint with a supervisory authority responsible for data protection, such as the Information Commissioner’s Office.
Where the legal basis for our processing of your personal information is consent, you have the right to withdraw that consent at any time.
9. Third party websites
Our website includes hyperlinks to, and details of, third party websites. We have no control over, and are not responsible for, the privacy policies and practices of third parties.
10. Acting as a data processor
For any data where we act as a data processor rather than a data controller, this policy shall not apply. Our legal obligations as a data processor are instead set out in the contract between us and the relevant data controller, and the data controller’s own privacy policy will apply.
